Citrix


For all computers (will auto detect):

Click here to download

Run the installers to install the client. After downloading and installing the Citrix Application on your computer, perform the following actions to configure the program to connect to NLU's Citrix environment.

1) Launch Citrix Receiver; when it launches, you should be prompted to enter your server address or work email.

2) Enter your work email and click the Add button.

3) Enter your NLU username (just the username - no @nl.edu) and password, and click the 'Log On' button.

4) Wait for Citrix to log you in after which you should see your available Citrix applications.

After downloading and installing the Citrix Application on your computer, perform the following actions to configure the program to connect to NLU's Citrix environment.

1. Launch Citrix Receiver, when it launches you should be prompted to enter your server address or work email.
2. Enter your work email and click the Add button

3. Enter your NLU username (just the username, do not put an @nl.edu at the end of it) and password and click the Log On button

4. Wait for Citrix to log you in after which you should see your available Citrix applications.

DUO MFA


Email


1. Tap the Settings icon on your home screen

2. Tap Mail, Contact, Calendars

3. Tap the Add Account button

4. Tap Exchange

5. Enter the information in the fields below, then hit Next:
    • Email: Your NLU E-mail address
    • Password: Your account password
    • Description: Whatever you would like to name this email account

6. Choose which content you would like to synchronize: Mail, Contacts, and Calendars, Reminders, Notes. Tap Save when finished.

Note: To modify your exchange settings, Tap Settings > Mail, Contacts, Calendars, select your Exchange account, and tap Account Info. 

To add an additional mailbox:

1. Click File tab | Info | Account Settings | Account Settings... The Account Settings dialog box will pop up

2. Select your default account and click Change...  The Change Account dialog box will appear

3. Click on More Settings...

4.  Select the Advanced tab and then click on Add

5. Enter the name of the additional mailbox into the Add mailbox field and click on OK.  The additional mailbox has now been added.

6. Click on OK.

7. Click on Next.

8. Click on Finish. The additional mailbox has now been added to the Navigation Pane.

1. Tap the Settings icon on your home screen

2. Tap Mail, Contact, Calendars

3. Tap your NLU Email account from the Accounts list

4. Tap the Delete Account button at the bottom of the screen

5. Click Delete from My iPhone on the confirmation dialogue.

6. Wait for the Deleting progress box to finish, this may take some time depending on how much email you have stored on your phone.

7. Once the Deleting box is gone you are done.

How to access my email archive

 

Please note that your email archive is only available through the following email clients:

 - Microsoft Outlook 2007 - 2016 for Windows PC

 - Microsoft Outlook 2016 for Mac

 - Outlook Web Access (OWA)

Email archiving is not currently available for phones, tablets, or any other 3rd party email program.

 

To access your archive through Outlook for Windows:

1. Open Microsoft Outlook

2. In the left hand panel, locate the mailbox named Online Archive - <your email address> (example: Online Archive - john.smith@nl.edu)

3. Expand the mailbox to show the subfolders

The Personal Archive policy determines when an item in your mailbox is automatically moved from your regular mailbox to your personal archive so that it's size does not count against your maximum mailbox size.

There are currently 2 methods to change your Personal Archive preferences, using OWA or using Outlook on a windows computer.  (A native mac solution is currently unavailable, please use OWA until this changes).

Using OWA
    1.    Open an web browser and visit https://owa.nl.edu.
    2.    Log in with your NLU username and password


    To Set a new retention policy on a folder:
        1.    Right click on the folder for which you would like to change the archive policy.
        2.    Hover over the Assign Policy section and select the Archive Policy you would like to apply.

 To assign a new retention policy on an individual item:
        1.    Right click on the item (or group of items) for which you would like to change the archive policy
        2.    Hover over the Assign Policy section and select the Archive Policy you would like to apply.

Using Outlook for Windows
    1.    From within Outlook on your Windows computer:


    To Set a new retention policy on a folder:
        1.    Right click on the folder for which you would like to change the archive policy and select Properties.
        2.    In the folder properties box, select the Policy tab.

3. In the Online Archive area, select the Move items to the Archive when older than dropdown box and select the appropriate policy.

4. Click OK when finished to apply.


    To assign a new retention policy on an individual item:
        1.    Right click on the item (or group of items) for which you would like to change the archive policy
        2.    Hover over the Assign Policy section and select the Archive Policy you would like to apply.

Password Reset


NLU will be implementing Multi-Factor Authentication (MFA) to protect your email account. MFA will utilize your cellular phone number and/or your personal email address for verification. In order to make sure we have the most up-to-date information for you, we will need your help updating your mobile phone number and personal email address. 

 

To view and update your information:

 

  • Log into the Student Portal at https://my.nl.edu and select My Services from the menu on the left.

  • Under the Phone Number section, verify that your Cell / Mobile Phone is correct.  If not, click on the Pencil icon to change it.  If you do not see a Cell / Mobile Phone entry, click Add New to add your mobile phone number.

  • Likewise, under Email, verify that your Home Email matches your personal non-NLU email address.  If this does not match, click on the pencil icon to change it.  If your Home Email address is not listed, click Add New to add a Home Email address.

Student Email


Student Email: Forwarding to external email address

1.  Login to the NLU Portal:  https://my.nl.edu
2.  Click and Launch “Student Email"
3.  From the Outlook Student Email Screen, select the Gear icon

5.  Navigate to Mail>Forwarding
6.  Checkmark “Enable Forwarding" and input desired address, then press save below.
7.  If you would like mail to appear in both mailboxes, be sure to check “Keep a copy of forwarded messages"

Voicemail


Access your voicemails from your computer

From OWA

  1. Log in to the Outlook Web App (OWA) at https://owa.nl.edu using your username and password. New voicemails will appear as a new message in your inbox.
  2. Click on the Voice Mail.mp3 attachment to listen to the message in your default media player. Voice mail messages have the same functionality as any other email message (ie. reply, forward, delete).
  3. If you have Windows Media Player installed on your machine, an embedded mp3 player should appear to play the message.
    • The Play on Phone option is not available using OWA.

From Outlook

  1. New voicemails will appear as a new message in your inbox.
  2. Click Play to listen to the voicemail. Voicemail messages have the same functionality as any other email message (ie. reply, forward, delete).

To Play on Phone

  1. Click Play on Phone in the body of the message to listen to the voicemail from your extension.
  2. The Play on Phone pop-up will appear with your extension listed in the dial menu. Click dial.
  3. Answer your phone once it rings to begin listening to voicemail following the Outlook Voice Access prompts.

Access your voicemails by Phone

If calling from a long distance outside location (non-NLU office phone):

  1. Dial 1-847-947-5600 and press 0
  2. Enter your extension and PIN when prompted.

If calling from a local outside location (non-NLU office phone):

  • Dial 1-847-947-5600 or dial your full 10 digit NLU phone number and press the * key while listening to the voicemail greeting.

If calling from an on campus NLU phone:

  • Dial 5600 from a campus phone or press the Messages key
  1. Enter your extension and PIN when prompted.
    • PIN only if dialing from your own extension.
  2. After the automated greeting finishes, say "Voicemail" and messages will begin playing.
    • To go to next message: Press the # key at any time
    • To delete: After a message plays, say "Delete" or press 7 (if using touchtone interface)
    • To reply: After a message plays, say "Reply" or press 8 (if using a touchtone interface) then begin recording your message when prompted.
    • To forward: After a message plays, say "Forward message" or press 6 (if using touchtone interface) then say the name of the person you wish to forward the message to
    • To return to main menu: After a message plays, say "Main menu" or press the * key (if using touchtone interface)

When your Microsoft Exchange Server account is set up with Unified Messaging, your voicemail account includes a system-generated standard and extended absence greeting. You can also record your own voicemail greetings for one or both greetings.

 

Record Voicemail Greeting from OWA

  1. Log in to the Outlook Web App (OWA) at https://owa.nl.edu using your username and password.
  2. Click the gear icon in the upper right hand corner of the screen and select "Options" 
  3. Select the "Genera" tab from the menu on the left side of the screen.
  4. Look for the "Voicemail" sub-section then select the "Greetings" sub-section towards the bottom of the screen.
  5. Select "Call me to play or record the selected greeting"
  6. Enter the extension you wish to set a greeting for then press the "Dial" button.

*Note - This does not have to be your default phone extension, just the number of an on campus phone that you happen to be near.

7. Wait for the phone to ring and answer it

a. Press 1 when prompted to record your greeting

b. Press the # key when you have finished recording

c. Wait for the system to play back the greeting and press 1 to accept

 

Record your Voicemail Greeting by phone

If calling from an outside location (non-NLU office phone):

  • Dial 1-847-947-5600 or dial your full 10 digit NLU phone number and press the * key while listening to the voicemail greeting.

If calling from an on campus NLU phone:

  • Dial 5600 from a campus phone or press the Messages key 
  1. Enter your extension and PIN when prompted
    • PIN only if dialing from your own extension
  2. Say "Personal Options" or press 6 (if using touchtone interface).
  3. To record greetings press 2.

a. Press 1 to record your personal greeting

b. Press 2 to record a greeting for when you're away

      4. Press the # key when you have finished recording

      5. Wait for the system to play back the greeting and press 1 to accept

How to change your voicemail PIN From your phone *Note - This option is only available if you already have your PIN, if you have lost your PIN and need to reset it, please skip this section and proceed to From your computer If calling from an outside location (non-NLU office phone): Dial 1-847-947-5600 or dial your full 10 digit NLU phone number and press the * key while listening to the voicemail greeting. If calling from an on campus NLU phone: Dial 5600 from a campus phone or press the Messages key 1. Enter your extension and PIN when prompted. PIN only if dialing from your own extension 2. After the automated greeting finishes, say "Personal options" or press 6
3. Press 3 to change the PIN.
4. Enter the new PIN, and then press #.
5. Press # to confirm the new PIN.

 

From your computer

1. Log into OWA at https://owa.nl.edu
2. Click gear icon and click options
3. Select Phone from the left hand pane and scroll down to reset PIN in the right hand pane.
4. Click on the Reset my voice mail PIN link
5. Click Yes on the next window
6. Wait for the process to complete.
7. You will receive an email in your inbox from Microsoft Outlook which contains your new PIN.
*Note - you may have to wait up to 15 minutes to log in with the new PIN.

Outlook Voice Access lets Unified Messaging (UM)-enabled users access their mailbox using analog, digital, or mobile telephones. Using the menu system found in Outlook Voice Access, UM-enabled users can read email, listen to voice messages, interact with their Outlook calendar, access their personal contacts, and manage personal options such as configuring their Outlook Voice Access PIN or recording their voice mail messages. This topic contains a list of the Outlook Voice Access commands and how users can use them when they access their mailbox by calling an Outlook Voice Access number.

Dial into voicemail 

If calling from an outside location (non-NLU office phone):

  • Dial 1-847-947-5600 or dial your full 10 digit NLU phone number and press the * key while listening to the voicemail greeting.

If calling from an on campus NLU phone:

    • Dial 5600 from a campus phone or press the Messages key

 

Enter your extension and PIN when prompted.
  • PIN only if dialing from your own extension

 

 

Outlook Voice Access user interfaces

Outlook Voice Access consists of two user interfaces: the Telephone User Interface (TUI) that uses a telephone keypad and the Voice User Interface (VUI) that uses voice commands. Users can use Outlook Voice Access to access the voice mail system from an external or internal telephone to access their personal email, voice messages, contacts, and calendaring information in their mailbox.


Email and voice mail commands reference

As an Outlook Voice Access user, when you dial in to an Outlook Voice Access number, you’re presented with menu options that enable you to access your mailbox and manage your email and voice mail. The following table lists the commands that are available for managing your email and voice mail.

Important:

If you need to access an email message after you delete it using Outlook Voice Access, you can use Outlook Web App or Outlook to move the email message back into the appropriate folder from the Deleted Items folder. You can’t use Outlook Voice Access to access the Deleted Items folder.


Personal options commands reference

As an Outlook Voice Access user, when you dial in to an Outlook Voice Access number, you’re presented with menu options that enable you to access your mailbox and manage your personal options. When you configure personal options using Outlook Voice Access, you can only use the telephone keypad to navigate the menus. Using your voice to navigate the menus is not available for configuring personal options. The following table lists the commands that are available for managing your personal options.

3. When prompted, press # and then dial the extension on your phone to be transferred to the professor's voicemail.

4. Leave your message and hang up when finished.

VPN


Learning & Information Technology Services offers Extended VPN, a service to faculty and staff which replicates the functionality of the campus-based network at off-campus locations.

Once connected to The Extended VPN, you will be able to access shared drives, banner, and other secured services.

The Extended VPN requires that users: 

  1. Have access to the internet (either at home, in an off-campus location, hotel, and so on);
  2. Download and install the Extended VPN Application, using the links below.

Installation & Use:

  1. Download Installation Client for your Operating System
  2. Install Client and Launch
  3. If prompted for Site, enter: vpn.nl.edu or vpn2.nl.edu
  4. Login with your NLU Username & Password

Student Laptop Enrollment

Laptop enrollment will begin a month before orientation, dates to be determined. Students will be able to access the laptop form through the portal using their credentials. The enrollment period will be open during the specified time.

Once the student has completed all parts of the form. There will be dates designated for Laptop Pick-up. Students cleared for a laptop will receive a clearance form filled out by Financial Aid. The completed form must be handed in when picking up the laptop Please see below for up to date information.

Laptop Enrollment Procedure

  1. Students must enroll by accessing and submitting the Laptop Agreement via the Portal. The following steps will help guide the student through the process
    1. Log into your NLU Student Portal at my.nl.edu
    2. Click on the Student Services tab
    3. Click on the Pathways Laptop Agreement Link
    4. Read the Computer agreement
    5. Accept or Decline the computer
    6. Click on the Submit button
    7. You will receive a confirmation online as soon as you submit your agreement. It will list 'next steps' for those who want to receive a laptop

  3. Please note that the agreement is submitted through the Portal. See link for a sample print out version of the agreement form. Pathways Laptop Purchase Agreement
  4. Students must then work with the Finance department and ensure all payments/paperwork needed is taken care of to be cleared to receive a laptop.
  5. Students will then attend the laptop distribution days having received a sign clearance form from the Finance department to receive a laptop. Please see link for a print out of the clearance form. Pathways Laptop Clearance Form

Laptop Program Outside of the Enrollment Period

  1. Student will reach out to their coach is they are interested in participating in the Laptop Program. Since this is past the cut off date to sign-up, each student must be approved on a case by case basis.
  2. The coaches will work with the Finance Department and the Banner team to have the laptop Agreement available via the Portal. The student must accept the Laptop Agreement via the portal before being cleared by the Finance department.
  3. Once the student has been approved by Finance and all paperwork/payments made. The coach will schedule an appointment with the LITS team for the laptop pick-up. Please include all parties that approved the student to receive a laptop, as well as the student receiving the laptop in the "laptop pick-up email". LITS will send out a calendar invite to the student and include their coach.
  4. Should the student miss the appointment, LITS will notify the coach and the coach will schedule a follow up appointment with the student for pick-up.
  5. Please schedule the laptop pick-up appointment with helpdesk@nl.edu

Loaner Computer Procedure

The following steps will help guide the student with a loaner request:

  1. Student requests a loaner from his/her coach.
  2. Coach discusses the situation, and provides the agreement, if needed.
  3. Student fills out the agreement with a specific timeline of when the laptop is due back.
  4. Agreement is signed off on by Aarti Dhupelia, Jennifer Robin, Pauline DeGrazia or Aurora Flores Garcia.
  5. LITS provides equipment.
  6. LITS informs Pathways when equipment is not returned by the due date.
  7. Pathways works with student and/or SF to resolve issue or debt the account.
